Accessing the List of Resource Calendars

This document describes how to open a shared contact list containing all of the resources calendars available in the Stanford Calendar service.  Zimbra Connector for Outlook (ZCO) users can use this as an alternative to using the Global Address List to look up resources. Anyone not using ZCO does not need to follow this procedure.

Adding the shared contact list in the web client will make it easy to then access the shared contact list in Outlook.

  1. Login to Webmail.
  2. Click the Address Book tab.
  3. In the Overview pane, click Find Shares. The Add Shared Folder dialog box opens.
  4. In the Find Shares field, enter cal_sc_all_resources@stanford.edu.
  5. Click Search.
  6. Select the All Resources check box.
  7. Click Add. The CAL All Resources address book is now available in the Overview pane.

Note: The Zimbra Connector for Outlook must be installed. 

  1. Click the Zimbra tab.
  2. Click Share Status.
  3. Select the cal_sc_all_resources@stanford.edu check box.

  4. Click OK.
  5. Click the Contacts section of Outlook.
  6. Right-click on All Resources and select Properties.
  7. Click the Outlook Address Book tab.
  8.  Select the option Show this folder as an e-mail Address Book.
  9. Click OK.

When using the Address Book to add invitees to meetings you should now be able to select All Resources in the list of address books and search of browse for the resources as you did when using the Global Address Book.

Note: The Zimbra Connector for Outlook must be installed. 

  1. Make sure the Zimbra Connector toolbar is open by going to the View menu and selecting Toolbars  > Zimbra Connector to make sure it is checked.
  2. Click on the Share Status icon at the bottom of the left hand column.
  3. Select the cal_sc_all_resources@stanford.edu check box and click OK.
  4. Go to the Contacts section of Outlook.  
  5. Right-click on the entry titled All Resources in Zimbra - cal_sc_all_resources@stanford.edu and select Properties.
  6. Under the Outlook Address Book tab, check the option Show this folder as an e-mail Address Book.

When using the Address Book to add invitees to meetings you should now be able to select All Resources in the list of address books and search of browse for the resources as you did when using the Global Address Book.
